It is 9:40 on a Tuesday night. There is a parent email in your inbox about a zero in the gradebook. You know the answer. It is four sentences long. It still takes you twenty-five minutes to write, because every word to a parent matters.
Multiply that by a school year and parent email becomes one of the biggest hidden time costs in teaching. This prompt gives most of that time back.
What it does
You paste a parent email into a ChatGPT Project or Gemini Gem loaded with this prompt. You get back three things: an analysis of every topic the email raises, a triage decision, and a draft reply written in your voice using your actual classroom policies.
It never sends anything. You read the draft, edit it, and send it yourself. The AI is a junior colleague handing you a first draft, not a spokesperson.
The three design choices that matter
If you build your own version, steal these.
1. It knows when to refuse. If an email contains a legal threat, an accusation, or a safety concern, the prompt stops. No draft. It flags the email for your personal attention and produces only a two-sentence holding response. Most teacher AI trouble comes from a model being helpful in a moment that called for a human. Build the off switch first.
2. It can only say what you wrote down. The prompt contains my real grading policy, my make-up work policy, and my behavior policy. The AI is instructed to use only that text. No invented deadlines. No guessed grades. It has no gradebook access on purpose, so it points parents to the parent portal instead of estimating a score. If the AI cannot cite a policy from the prompt, it says I will follow up personally.
3. It has hard lines around students. It will never mention, confirm, or compare another student, even if the parent names one. It will not discuss IEP or 504 specifics in writing. Those conversations belong to humans, and the prompt says so.
Before you use it
Parent emails contain student information. Before you paste one into any AI tool, check your district's data policy and ask your tech director which tools are approved. If your district has not approved a tool for student data, do not use this with real emails yet. Test it with fictional ones.
And read every draft before sending. The AI wrote it, but you signed it. That responsibility does not transfer.
